About the Opportunity

As Administrative Assistant your primary responsibility will be to support Peter Guay and the Layton-Guay Team while providing exceptional service to our clients.

This position is ideal for someone with an interest in financial services, who has strong organizational skills and a commitment to client service. The successful candidate will build and maintain a positive, friendly, and personal rapport with our clients while assisting Peter and the team with a wide range of tasks, including calendar management, file maintenance, and client onboarding.

Responsibilities & Activities

The successful candidate will be the first point of contact for our clients and prospective clients. Responsibilities will include, but are not limited to, the following:

  • Provide confidential administrative support including coordinating and organizing meetings with existing and prospective clients, maintaining contact lists, composing client correspondence.
  • Work effectively with the Team Lead to keep him well informed of upcoming commitments and responsibilities.
  • Assisting all team members with administrative tasks including processing mail, filing, and ordering supplies.
  • Managing the Team Lead’s calendar and scheduling client meetings for the Team Lead and other advisors in the team.
  • Taking & directing calls.
  • Responding to client inquiries and requests, including providing help in accessing our online platforms.
  • Communicating with clients by phone and email in both official languages.
  • Guiding new clients through the welcoming process including data gathering and document requests.
  • Client file maintenance and data entry.
  • Greeting clients at the office when in-person meetings resume.

Qualifications & Skills

We’re looking for an individual with the right skill set, work ethic, and personality to fit in with our team. While prior experience in financial services administration is an asset, it’s not essential if you meet the following requirements:

  • Post-secondary degree or an acceptable combination of education, training and/or related work experience.
  • Two years of experience in an administrative role or client service position.
  • Ability to organize and prioritize work effectively.
  • Proficiency with Microsoft Office, required.
  • Excellent written and verbal communication skills, both English and French, required.
  • Experience in the preparation of correspondence.
  • Ability to learn new systems quickly & adapt to evolving processes.
  • Detail-oriented and process-driven approach to work.
  • Strong work ethic, maturity, and commitment to client service.
  • Committed to ethical and professional standards regarding confidentiality of client information.
  • An enthusiastic team player who can work effectively with others both internally and externally
